Paid - up account, write back amounts?

After my separation with my wife, she decided to buy a laptop and I had to pay the account. I paid over R5500 But this is not the real problem, I paid the on 19 June 2012 - R400 (Cash) and on 4 July 2012 - R400 (cash) again, I received a final account showing R340.54 final payment due for statement 09/06/2012 to 08/07/2012, on 6/08/2012 I paid the R340 in cash again, meaning that I owe them .54 cents and I did not want to pay-up in full as I wanted to buy again from them? But the following statement I received showed an amount of R740.54, and on query I was referred to Maravedi, Teresa du Toit, I faxed the proof of payments.to her. She did not revert. Last week I went into Incredible Connection Cresta, where they informed me that the file is with legal. So, I phoned them and spoke a very rude African person, what said I must resent proof of payment, which I did. To date I did not even received a reply? I do not appreciated creative account as they have written back cash amounts? This account is paid up and in full, yet they are threatening me with legal action?
