Account system revamp needed ASAP! Makes no sense!

I had a call out for a technician to come out to my premises to reprogramme the alarm remotes and to faultfind some minor issues. That was Thursday, the 9'th. I enquired about how to pay and I was told either by debit order or EFT. Transferred the money the following day, Friday the 10'th. Monday the 13'th we fax the proof of payment to them. The 15'th I get an sms with a link from them indicating the bill has been paid. You would think that would conclude our transaction... you would be wrong. Saturday the 18'th I get a bank sms showing the technician call out fee has been debited, the one I already paid and received confirmation for. I phone accounts the same day and they inform me that they can see the mistake on their system and that they will have to refund me. Tuesday get a call back from a Ms. Thembela in accounts, requesting proof of payment AGAIN. "No access to fax apparently", fine, I e-mail the proof this time. Today, no refund yet. I phone her again to find out when and she informs me she did it yesterday and it will take 7 working days. REALLY... I have to wait another week for MY money due to their own mistake and incompetence... REALLY. Totally unacceptable!!!
