Settlement dispute

I requested for a settlement amount and letter on the 14 of November 2012, paid in the settlement amount on the 16th of November. A number of times I asked consultant at the Benoni branch if it would be necessary for me to advise once the money has been paid in, in order for the account to be closed but they said because I have requested for a settlement the system will automatically close of the account. Only now on the 12th of April I receive a letter advising that the is an outstanding balance. If the account was still active why was I not receiving statements on the other months. I will not be paying the "supposedly owed" amount because of the incorrect information I received from the incompetent staff at Benoni branch. This account will be closed as I still retained the proof of payment an settlement letter received.
