Failure to update itc records

I had an account with Sterns 2011 and requested a settlement quotation in April 2012, I settled the account (R4200) in April 2012 and till today it has not been updated on ITC, I called ITC and they told me I am listed as a default payer I've defaulted to pay my Sterns account it shows R3400 as Sterns has failed to update them so I must call and ask for a confirmation letter stating that I have settled the account, when I called Sterns they told me yes the money was received in order and I now owe them R34... like R34??? is that why my Credit Record is ruined, then they tell me until I pay that amount can they update on ITC and I will then get the confirmation letter . where does the R34 come from after a year having settled my account? only now because I am asking for a confirmation letter am I informed about the R34 hadn't I contacted them how would I have known?
is it fair? couldn't they send an sms, email, letter stating that I owe R34?
to me it doesn't make sense and it really isn't fair in true sense small balances like these should be written off.
