Installment in arrears after paying by EFT

I switched banks, and the Sanlam debit order for my personal loan wasnt switched in time to go off end of December. i phoned on 27 December 2012, and said I will pay by EFT. It is for both my personal loan and retirement annuity. I was given the account number to use, and two reference numbers. i did the payment immediately and proof of payment was sent to them. In January Direct Axis started phoning me that my installment was in arrears. i explained the situation but according to them they cannot find record of the phone call or the payment. I have sent proof of payment at least 3 times, e-mails stating the account number, reference numbers, person i spoke to, and I have spoken to 5 or 6 people and none of them seem to know what the others are doing. i have been getting phone call every day since. They have the arrogance to tell me i have to find out where the R1386.97 is allocated at the moment, get a refund and make another payment in the mean time.
I can not believe that with all that information they are still incapable of rectifying the mistake. i'm sick and tired of them phoning me when my payments are actually NOT in arrears!!!
