Incorrect Account Billing and No Feedback

Good Morning
My mum has taken out the Gym benefit through Liberty. This was done with Susan in Feb, but due to some technical issues, it was done late in Feb.
However, Susan was supposed to process a refund for the March payment, but she has not. I also see that my mum has been charged the full amount for April, meaning that the Liberty benefit changeover was not completed as Susan confirmed.
My wife has been trying to follow up with Susan without any headway.
We cannot be paying for the Gym membership when my mum's Liberty benefit allows her a 80% discount. We also need to understand why the refunds were not processed and get these done asap.
