Why is Telkom unable to manage their client inform

Why is Telkom unable to manage their client information?
During 2010 I had a number of lines cancelled all these lines was cancelled on the same day. I cancelled these lines in person at the Telkom Menlyn outlet.
The reason for the cancelation was that the home business that I ran at the time was sold and the lines were no longer required.
All outstanding accounts were paid at the time of cancelation as it was explained that they are unable to cancel lines before the account was settled.
The phones were disconnected the same day.
During last year I started receiving correspondence from Telkom demanding payment of an outstanding account.
The situation as per the above content was explained to a number of individuals and each time I was assured that the situation will be resolved.
During May 2013 I was called by the apparent legal representatives of Telkom who once more demand payment and am now threatening with legal action.
I am at a loss for words; I will not pay the amount demanded or any so called costs as a matter of principal.
The attorneys are now demanding my telephone statements. It is three years later so please explain why I should have kept them for a business that was
