Payment made monthly but still been threaten

We make the payment by the 1st of every month via EFT (as we get paid on the last Friday of the month) and then we email them the proof of payment. However we then get a sms that threatens us with legal action. When we get hold of them (with difficulty) they say they didn't receive the payment or the proof of payment; however we get read receipts from the email sent to them - someone got the proof (we give them the names of the people that read the email and still they argue that they didn't get anything). This month we got a sms saying that they haven't received any payment since October - wow really, how unprofessional. Maybe they should invest in better staff (especially replace the rude Call Centre staff and the people "allocating the payments" to the accounts as they are obviously not allocating the payments, and they need to learn to reconcile their bank account to the consumers accounts to ensure they allocate them to the correct accounts, probably allocating our payments to their own outstanding accounts. They are unprofessional and rude and need to wake up and do what they are been paid to do. They don't get back to you when they say they will and then you get another sms.
