Not updating my account with my payments

I have now for more than 6 months been having the same problem over and over. every month i pay my account then i have to email the proof of payment. about 5 people just delete my email without reading it. then i have to phone the collections department and speak to them and once again email my proof of payment. every time you ask for a manager to sort out the problem as the staff that answer the phone can not sort out my problem. i get letters every time saying that they are linked to the credit bureau and my credit record will show that i am a bad payer. i pay my account every month and i pay more than my payment due every month. should your bad account management make my credit record look bad, i will not have any other option than to take this matter to the highest level possible.
