Refund outstanding for 3 months!

I paid a fine via paycity on 5/ 07/13 using the direct bank deduction option. The payment was deducted from my bank account twice! I laid a complaint via the paycity website and was contacted by Ashleigh Jacobs telephonically. She asked for copies of my bank statements reflecting the double deduction which were submitted on 25/7/13.She confirmed reciept on 26/7/13.On 29/7/13 I was advised that the details had been submitted to the administrator. On 4/9/13 I requested feedback as I had not heard anything. On 5/9/13 Ashleigh said the money should have been refunded already. On the same day I sent bank statements showing no refund had been recieved. On 8/9/13 I was advised that the bank statements were sent through for investigation. On 3/10/13 I requested feedback again. Ashleigh asked if I had recieved the forms to complete which I confirmed I had not. On 7/10/13 I was told that my profile showed that the refund had been processed, I confirmed that the refund had not been recieved. Ashleigh promised to get back to me the same day. I have still had no feedback! I intend closing the account that I paid the fine from and have incurred 3 months extra bank charges waiting for this refund!!!
