Incompetent staff member results in extra expenses

My Boss retired and made arrangements to return to his home country. He went to Drs du Buisson, Kramer etc. himself to pay a Ampath account he knew he had, as he had not received it by the time he wanted to leave the country. The lady at the reception assisted him and gave him a total to pay and he paid. After he left the country I received an account for them stating he owes R193.52. I contacted him and he said he paid everything. Luckily he left all his medical slips / proof of payments with me and I immediately phoned Ampath to sort it out. After some discussion it was found that the lady working at their reception gave him an additional 20% discount. I forwarded the proof per their request via e-mail as she said she will get back to me. I had to follow up myself again as no response was received. Now while trying to sort it out they handed him over to ICT, the lady who made the mistake is not held liable for her mistake, and he has to incur extra expenses in sending a cheque through DHL from his country just to pay R193.52. This is unacceptable as he was there to pay, but due to a mistake of an incompetent staff member he has to incur all these added expenses.
