Unloaded policy / rejected claim

I took out the plan which was effective from June 2012, the dealer phoned to put a claim through, they were advised that they have no record of my policy. I phoned sent through documents through and they then loaded my policy. the following day the dealer phoned to put the claim in and they were advised that the claim is rejected as my services are not upto date. I have sent a mail and have not heard a thing from them. My services are uptodate and how the would sa warranties know if they only loaded my policy.
