Refuse to pay out a claim

Hello. I purchased a vehicle (2004 Opel Corsa Utility) from Cars To Go in Pretoria on 13 March 2013. I also took out the Plan C Silver warranty from AMP (Advantage Motorplan) - policy number 934630.
On 09 April 2013 I had a breakdown - the starter motor packed up. Being in a desperate situation and not having a good day, I had the car repaired at own cost since I needed the vehicle the same day. I did not have the policy document (at the time I could not even remember the name of the warranty plan) on me so I did not arrange with the insurer. I studied the document a few days later and realised that the part could have been claimed. I sent the invoice to the insurer over the weekend and they rejected the claim because it was not pre-arranged. Is this "standard procedure" legal - for them to just reject claims and not willing to listen to special circumstances?
