Taking money after cancelation

On the 31/08/2013 I went in to a Old Khaki store to settle both my own and my wife's accounts. This went relatively hassle free until I checked my bank account in this month where I then noticed that RCS had still subtracted a amount off my bank account after I had settled the account. So maybe this was because I only settled the account a day or two before the payment was due or so I though till my wife checked her account and no deduction had been made on her account. So obviously it had nothing to do with the timing of us settling our accounts. Furthermore I noticed that the amount was only for accumulated rent and not for any repayment.

After phoning RCS they now want me to send them a hole bunch of documents before they can refund their mistaken deduction. I think this is unacceptable and why should I now go through a hole load of trouble for a mistake that was clearly made on their behalf.
