Demand of payment on a paid up account

I had an account with Russells for about two years, I took a loan from one of the Banks and they offered to settle the account on my behalf this year - 26 June 2013.
I went to Russells branch and do a follow up after the debit order went off on the 1st of July 2013.
Shamla, the Credit Manager in West Street confirmed that the account was settled and they need to refund the amount they debited from my bank account, she was very helpful, I received my refund and the paid up letter from her.

One month after that I received the call from Russells Call Centre JD Group (Durban) to say my account is in arrears and I still have an amount to pay. I faxed proof of payment, ID copy, paid up letter that they requested and Shamla sent a request to the Head office to close the account, again today 26/09/2013 I receive a missed call and I called back and spent 10 min on the phone, they're demanding the payment AGAIN, the consultant told me that she's sending a request AGAIN 2 head office 'cause she dont understand why the account is still open.
Im very dissapointed and I will surely involve my Lawyer in this matter even on ITC it shows that Im owing them! I will never use Russells EVER
