Representative charges for an unconfirmed visit

Alan Coetzee from Out-Pro CC phoned an employee at our firm to inquire about a courtesy visit in order to source business. It was agreed that he may pop in. Upon arrival the specific employee was unavailable and gave Mr. Coetzee the choice to wait or return at a later stage. Mr. Coetzee had no complaints and said he had other firms to visit and would return later the same day. A day later our company received a bill via e-mail to the amount of R1, 036.26 for the cancellation of an appointment. Our employee phoned with Mr. Coetzee in an attempt to resolve the issue but the phone call ended in Mr. Coetzee jamming the receiver. This is unacceptable behavior from a professional enterprise.
