Charged me twice in one month

I have been with Virgin Actove since June 2013 and was helped to set up my membership by Pat (he has since been promoted to manage another Virgin active). Pat was very helpful in taking care of my membership and suggested that i get a policy with Liberty life to gain a discount. He even got in contact with Liberty for me so that all I had to do when i got to Liberty was just sign the papers that were set up for me. Everything was fine until i had to change my membership over to be under the "own your life rewards" at virgin Active. they had already charged me for August when i went to have my membership changed, so when i had to pay again for this month i was told that i will be refunded within 2-3 working days. It has now been 3 weeks and when i went in on 17 August 2013 to see what the issue was and was told by the lady at reception that i must phone Virgin head office and sort it out myself. they did not want to help me in the least. is this what i should expect from majority of staff at Virgin?
